Job Summary

The Executive Assistant will reduce the workload of the Director of Business Development by performing a variety of clerical and administrative tasks. The Executive Assistant will also provide administrative support to the Account Success Leader and facilitate the efficient operation of the sales and client relations team.

Essential Duties and Responsibilities

  • Preform clerical and administrative tasks to include managing calendars, email correspondences, screening incoming calls, document management, and filing systems
  • Retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of data when needed
  • Provide service support during client meetings, special events, and projects relevant to the sales and client relations team
  • Book and manage travel arrangements for the sales and client relations team
  • Produce reports and presentations (e.g., fiscal spreadsheets and monthly board pack)
  • Organize and attend meetings, ensuring the manager is well prepared (e.g., preparing agendas, schedules, and taking minutes)
  • Liaise with office vendors and other departmental staff
  • Collaborate with UK administrative team for the scheduling of cross-border meetings and conference lines and/or electronic communications
  • Maintain commission calculators for the sales and client relations team
  • Salesforce data management to include gathering and compiling data captured in Salesforce for the production of briefing reports and sales presentations
  • Protect organization’s value by keeping information confidential

Qualifications and Skills

Essential

  • Associate’s degree in a business related field, or an equivalent amount of relevant work experience
  • Minimum of three years of experience in an administrative role
  • Excellent interpersonal and customer service skills
  • Excellent verbal and written communication skills
  • Strong organization skills and attention to detail
  • Strong technical skills in relation to common office applications and equipment
  • Proficient in Microsoft Office suite; highly proficient in Excel
  • Data entry skills along with a knack for numbers
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing
  • Ability to work independently and handle competing priorities with ease

Preferred

  • Bachelor’s degree in a business related field
  • Minimum of two years of experience working as an executive assistant for senior management
  • Salesforce Admin experience

Compensation, Benefits, and Perks

  • $16.00 – $21.00 per hour, depending on experience
