Overview of Role

Work with the IT Director to provide administrative support across the teams in the IT department and provide a point of contact for communication with other teams such as Sales, Assistance and Office Services.

The role requires strong administration and organisational skills, the ability to prioritise tasks to achieve goals and the ability to work effectively with a range of stakeholders.


 

Key Accountabilities

  • Manage and produce Management Information (MI) for Senior Management. This includes:
    • Project Management
    • Producing a Three Month Work Plan projection
    • Managing updates and releasing a monthly Project Roadmap
  • Work closely with the Business Analyst on process improvement, specifically focussing on:
    • Workflows between Sales and IT teams
    • How new work is progressed in the IT team
  • Arrange and support meetings within the IT department, including:
    • Monthly Development Team meetings
    • Fortnightly Team Management meetings
    • A monthly Planning Forum
    • Quarterly meetings with the CEO and IT Department
  • Support the IT Director with tasks including, but not limited to:
    • Diary and meeting management
    • Arrange monthly 1-1s with direct reports
    • Collate information for monthly Board Meeting
  • Communicate and provide project reporting using agreed framework and accurately reflect risks and issues
  • Co-ordinate and take control of tasks given
  • Gather and document information for business case justifications
  • Create and document processes, policies and standards for the delivery and implementation of technical projects
  • Monitor and ensure compliance of service level agreements for both customers and vendors
  • Participate at technical client meetings which may include travel
  • Train stakeholders including clients and staff on the system
  • Assist in the management of Information Assurance across the enterprise
  • Risk Management of projects and compliancy
  • Action data trends and analysis for predictive outcomes


Education and Experience

  • Experience of being in a fast-paced administration role
  • Experience of producing Management Information (MI)
  • Experience of using SharePoint
